Configuring your email accounts
Your BlackBerry smartphone allows you to send and receive email from up to 10 supported email accounts. Setup is simple. You can do it online at your computer or right from your smartphone.
Note: The username that you choose during the email setup may become part of your BlackBerry email address.
To set up your BlackBerry® Internet Service email:
- Click the Setup Wizard icon and then click the Email Setup option. To find this icon, you may need to push the BlackBerry key to the left of the trackpad. Then use the trackpad to scroll to the icon of an envelope called "Email settings".
Note: The first time you launch the Setup Wizard you will be guided through several pages of Device Setup and Personalization. Use your trackpad to scroll and select items to personalize. Click Back or Next as needed.
- On the email setup screen, select I want to create or add an email address. Click Next.
- This page tells you that once you click Next, the email setup Web site opens. Click Next.
- On the Login page, scroll to and click Create New Account.
- To accept the terms of the license agreement, select Yes under I have read and understand the End User Agreement. Click I Agree.
- Enter the username of your choice for the email setup application or the email setup Web site.
- Enter a password of six or more characters. Click Next.
Note: Record your username and password in a safe place.
- Perform one of the following actions:
- If you want to associate an existing, supported email address with your BlackBerry, type the email address and password under Email Account Setup. If necessary, click I would like to use my existing email address and click Next to enter the email address information. You will receive a confirmation message once your email is configured. Click OK.
- If you want to create a new email address for your BlackBerry, scroll to and click Create a BlackBerry email address. Click Next. Enter a username then click Next. You will receive a confirmation message once your new BlackBerry email is set up. Click OK.
Congratulations! Your email is now set up. Now click Log Out and then Close the Setup Wizard to end.
If you’d like to connect to your company’s email server, please make sure your business has a BlackBerry® Business Enterprise Server and that you have enrolled in the BlackBerry Enterprise Solution data plan from CREDO Mobile.
The enterprise activation process allows you to set up service on your BlackBerry after you have received your sign-in information from you company's BlackBerry enterprise administrator. Please request this information from your company's IT department or BlackBerry Enterprise Solution administrator before attempting to proceed with your email setup.
BlackBerry Enterprise Solution
Use the BlackBerry® Enterprise Server option to associate your smartphone with a Microsoft® Outlook, IBM® Lotus® Notes® or Novell® GroupWise® work email account and to take advantage of advanced wireless data synchronization capabilities. If your system administrator has provided you with an enterprise activation password, please use it to set up your email on your BlackBerry smartphone. Just select I want to use a work email account with a BlackBerry® Enterprise Server in the Setup Wizard on your smartphone. If you do not have an Enterprise activation password, contact your system administration.
To determine why you are not receiving messages on your device, perform one or more of the following actions:
- Verify that your BlackBerry device is connected to the wireless network. To do this, check the top right of the device screen for signal bars. You can also go to the Manage Connections icon on the main menu to verify connection and turn your connection on and off.
Note: If you are not in a wireless coverage area and don’t have access to a Wi-Fi network, you will receive a message when you when you return to a wireless coverage area.
- If you have not received a registration message from the wireless network, register your device. In the device options, click Advanced Options. Click Host Routing Table. Press the Menu key. Click Register Now.
- If you created an email address or added an existing email address to your device using the email setup Web site, verify that you have received an activation message on your device from the BlackBerry® Internet Service. If you have not received an activation message, use the email setup Web site to send a service book to your device. The activation message might take a short time to arrive.
- Verify that data service is turned on.
- If you use email message filters, verify that the options for email message filters are set correctly.
- Verify that email message forwarding is turned on and that you have selected all the email message folders, including your inbox folder, from which you want to receive email messages.
- Verify that your device is not blocking messages. For more information, contact your system administrator.
To determine why you cannot send messages on your device, perform one or more of the following actions:
- Verify that your BlackBerry device is connected to the wireless network. To do this, check the top right of the device screen for signal bars. You can also go to the Manage Connections icon on the main menu to verify connection and turn your connection on and off.
Note: If you are not in a wireless coverage area and don’t have access to a Wi-Fi network, you will receive a message when you when you return to a wireless coverage area.
- If the menu item for sending a message does not appear, verify that you have added an email address or PIN for your contact.
- If you have not received a registration message from the wireless network, register your device. In the device options, click Advanced Options. Click Host Routing Table. Press the Menu key. Click Register Now.
- If you created an email address or added an existing email address to your device using the email setup within the Setup Wizard icon, verify that you have received an activation message on your device from the BlackBerry® Internet Service. If you have not received an activation message (the message might take a short period of time to arrive), use the Email Settings icon to check your settings.
The process varies depending on whether you have a BlackBerry® Enterprise Server (BES) account or a BlackBerry® Internet Service (BIS) account.
If you have BlackBerry® Internet Service, you will need to add a new signature from our BlackBerry® Internet Service Web site.
Note: You will need to create a username and password.
- Once you’re signed in, click on Edit for the email address you want to add the signature to.
- On the next screen, enter your customized email signature. The default is set as, "Sent from my BlackBerry smartphone, powered by CREDO Mobile."
If you have a BlackBerry® Enterprise Server account:
Verify that your BlackBerry device is associated with an email account that uses a BlackBerry® Enterprise Server that supports this feature. For more information, contact your administrator.
- In a message list, press the Menu key.
- Click Options.
- Click Email Settings.
- Set the Use Auto Signature field to Yes.
- Type a signature.
- Press the Menu key.
- Click Save. Your signature is added to email messages after you send them.
If you use a BlackBerry® Enterprise Server you can add a platform-wide email signature to append to each email sent from your BlackBerry smartphone (i.e. both your work and personal email accounts). In order to do this, follow the steps listed below.
If you use BlackBerry® Enterprise Server software version 4.1 for Microsoft Exchange and all software versions for Novell GroupWise and IBM Lotus Domino:
- Open BlackBerry Manager.
- Select the BlackBerry® Enterprise Server Name.
- Select the Server Configuration tab and click Edit Properties.
- Select the Messaging properties and edit the Append Disclaimer Text field with the information you want contained in the email.
- Click Apply and OK.
- Close BlackBerry Manager.
For BlackBerry® Enterprise Server software versions 4.0 and earlier for Microsoft Exchange:
- Open BlackBerry Manager.
- Right click the BlackBerry® Enterprise Server Name and go to BlackBerry Server Properties.
- Select the Message Options tab.
- Fill in the Disclaimer Text field with the signature you want.
- Click Apply and OK.
- Close BlackBerry Manager.
There are profiles available on your BlackBerry that manage notifications such as the phone ringing or vibrating when you receive a call, text or email. You can use the standard notifications or you can customize them. Here is how to customize:
- From the main screen, select the Sounds icon using the trackpad.
- Scroll to the bottom and highlight Edit Profiles. Click to view all profiles on the phone.
- Scroll to the profile you want to edit and select Edit from the menu.
- The next screen will provide a list of functions. Select the one you wish to edit.
- To silence your phone when you receive text messages, use the trackpad to change the volume to Silent.
- Once you’re done, select Save from the menu.
Your BlackBerry® Internet Service account can be associated with up to 10 Internet service provider (ISP) email accounts. The BlackBerry® Internet Service supports most Post Office Protocol 3 (POP3) and Internet Message Access Protocol (IMAP) accounts, including Windows Live™ Hotmail®, Gmail® and Yahoo!® Mail.

You should see icons for each of your email accounts on the dashboard of your BlackBerry® smartphone. When you receive a new message, it will automatically go into its respective folder and you’ll see a notification on your screen. Separate icons are created for each inbox as long as you add new email accounts to your device. You also have the option to filter which messages (SMS, email, desktop) will appear under the Messages folder. By default, however, all of your incoming email messages will go into the Messages folder.
- Open the main menu using the BlackBerry key.
- Click the Messages icon (the envelope). Scroll to the top of the inbox. Once you've highlighted the top of the inbox, hit the BlackBerry key to see a list of edit functions. Scroll down to Options.
- Next, click on General Options.
- Click on SMS and Email Inboxes and select Separate. This will create a new home screen icon — a folder named SMS.
- Now you can (optionally) hide the Messages icon since SMS messages go to their own folder.
Importing your address book
You may switch contacts, calendar and other data from a Palm Treo or Windows Mobile device by using BlackBerry® Desktop Manager. See instructions.
When attempting to synchronize address book entries on your BlackBerry smartphone with Microsoft Outlook in Windows Vista, you may receive the following error message: "Error encountered. Check documentation."
This occurs when there is a contact photo included in the Microsoft Outlook address book entry.
To resolve this issue, complete the following steps:
- Remove the contact photo from the Microsoft Outlook address book entry. For instructions, consult Microsoft Outlook Help.
- Configure the field mappings in BlackBerry Desktop Manager to not synchronize contact photos.
- In BlackBerry Desktop Manager, click Synchronize.
- Under the Configuration heading on the left side of the window, click Synchronization.
- Under Synchronization Configuration, click Synchronization.
Note: The BlackBerry smartphone must be connected to the computer using a USB cable for Synchronization to be available.
- Select Address Book and click Advanced.
- Under Field Mapping, click Map Fields.
- Click on the bi-directional arrow between Picture and Contact Photo to remove the mapping, and click OK.
You can sync your contacts via text message or by visiting Google on your BlackBerry smartphone.
- From your computer, enter your mobile phone number. Google will send you a text message with the download link. Click the link.
- On your BlackBerry, browse to: http://m.google.com/sync.
- Download the Google Sync client to your BlackBerry.
Once you have downloaded Google Sync, look for the Google Sync icon on the main menu of your BlackBerry home screen. You can then use the Menu button to manage the following:
- Synchronization frequency – manual or automatic synchronization. If you opt for automatic sync, Google Sync will update your BlackBerry after you update your calendar or contacts.
- Contact synchronization – turn on or off.
- Calendar synchronization – turn on or off, and choose whether to sync your prior events.
The first time you use Google Sync it may take a while. Try syncing just your contacts or just your calendar first. Once this initial synchronization has taken place, future updates will be much faster.
